How To: Document Management

For IEM there are 2 options to manage documents:

  1. Document Management (on-Premises only)
  2. Project Site

Note: That these are 2 separate functionalities which are not integrated.

Document Management

For setup please refer to: Document Management The Solution Center Document Management creates a folder for each record where documents are attached to. ie: if the Document Management Drag and Drop factbox is on the Job Header card a folder will be created per Job. Since the Job number remains the same throughout all the Job states, from Planning until Complete, all documents related to the complete Job lifecycle will also remain in that specific folder.
When Storage Type "SharePoint" is specified in the Document Management Setup the folders per record will be created in the Sharepoint Document Library as specified. Note: the Sharepoint Document Library name must be in the language specified in the Sharepoint setup.
Notes:

  • STAEDEAN Notification Management is capable of storing e-mail attachments in the Document Management folder.
  • Document Management is only available on-Premises.

Project Site

The Project Site adds the Sharepoint Site functionality compared to Document Management. This means that for each Job a project site will be created based on the template as specified in the Jobs Setup. The Documents will be synchronized between the document library on the project site and the documents fast tab on the Job card. The drag and drop functionality for documents is now available from the SharePoint page. In the Job Lifecycle an Action Handler can be specified to provision the project site. Since provisioning such a site can take a few minutes it is recommended to use the Batch Processing feature of Lifecycles Action Handler to provision the site in the background.
