How To : User Tasks for Incidents and Measurements

Create user tasks from incidents and from measurements and assign them to users or user groups. Each user task links to either an incident or a measurement.

Setup

To track the % complete of a user task, a % Complete Milestone option is available in the Quality Management setups. This list shows the standard milestones and you can add percentages to it. When a user task reaches any of these milestones, the % Complete on the user task is updated accordingly:

Notes The percentages in this table are shown as a suggestion only. These milestones are created as Enums and you can extend them to be customer-specific.

Incident User Tasks

Create incident user tasks manually from an incident with the Create User Task action. Once created, open the user task with the User Task action. Each incident can have only one user task.

Measurement User Tasks

You can create measurement user tasks automatically and assign them to a specific inspector:

  • On the Measurement Template, set Automatic Create User Task to On.
  • Select a default Inspector User Name.
  • Alternatively, select a User Task Group.

Instead of the Measurement Template, set an Inspector User Name or a User Task Group on the Target Template for items and so on. This makes inspector assignments more specific and overrides the default Inspector User Name on the Measurement Template.

Notes You cannot set both Inspector User Name and User Task Group, it is one or the other.

When a measurement is created from a Measurement Template with these settings, the user task is also created. The user task links to the measurement with the % Complete set to the percentage specified for the Measurement Created milestone. The % Complete updates automatically as the measurement progresses through milestones.

When the measurement is accepted and registered, the incident closes. The user task % Complete is then set to 100%. The measurement continues as a registered measurement and the task item is updated accordingly.

Confirmation message

When a user task is created, a confirmation message appears: A User Task for a Measurement has been created. Do you want to open the User Task? Yes/No

Control this message with the STAEDEAN Show User Task Notification setting in My Notifications. Use this setting to switch the message on or off.
