How To: Job Calendars

The Job Task starting ? and ending dates are based on the number of working days estimated for the Job Task. Non-working days are determined with the Job Calendar. The Job Calendar is based on the standard NAV functionality around Base Calendars and Customized Calendar entries and sets the non-working days for a Job.
Job Calendars are set in the following places:

  • Jobs Setup
    The basic setting for Job Calendars is in the Jobs Setup, type Jobs Setup in the Search box to open the page and navigate to the Advanced Tab. At this location a Base Calendar Code can be selected (check the standard functionality on how to create and maintain Base Calendars). At the same location customized calendar entries can be created specifically for Jobs. In this way one Company Calendar can be used for Jobs, Service and Sales each with its own set of customized entries. The calendar in Jobs Setup is the basic setup and will be overruled by each of the following settings.
  • Base Template
    Type Base Template in the Search box to open the Base Template and note that on each template a Base Calendar Code as well as Customized Calendar Entries can be created. In this way different calendars for different types of Jobs can be set based on the template they are copied from.
  • Job
    Open a Job card and note the Base Calendar Code and Customized Calendar Entries. These settings are copied from the Jobs Setup which is overruled when a Base Template is copied or can be entered manually specifically for the Job.

Time Details

The Calendars are based on dates and each date represents a full day. For planning purposes it is necessary to subdivide a day in hours and distinguish between work time, over time and breaks. To support this the Time Detail option has been added.
From the Base Calendar Card the Time Details for the Base Calendar can be maintained allowing the following settings:

  • Weekday - select the day of the week
  • Work Type - select a work type
  • Time Type - The time type will be set based on the selected work type. The Time Type supports 2 different functionalities: Job Task Planning Information FactBox and Leave Management. For a full explanation see: Work Types
  • Start Time - the time the selected work / time type will start
  • End Time - the time the selected work / time type will end
    By using the sorting or filtering options of the list page a better overview per day or work / time day is possible

How to: Set Up Base Calendars

The main task in setting up a new base calendar is to specify and define the nonworking days that you want to apply.

To set up a base calendar

  1. In the Search box, enter Base Calendar, and then choose the related link.
  2. Create a new Base Calendar Card. On the Home tab, in the New group, choose New.
  3. Fill in the Code field.
  4. At this point, the calendar lists all date entries as working days. To register nonworking days, on the Actions tab, in the Functions group, choose Maintain Base Calendar Changes. The Base Calendar Changes window opens.
  5. You can use the Recurring System field to mark a particular date or day as a recurring nonworking day. You can select either the Annual Recurring or Weekly Recurring option.
    If you select Annual Recurring, you must also enter the relevant date in the Date field. If you select Weekly Recurring, you must also select the relevant day of the week in the Day field. If you leave the field empty, you must fill in the Date field. The Day field is filled in automatically.
  6. When you make an entry, the Nonworking field is selected. You can choose to clear the check mark to make it a working day.
  7. When you return to the base calendar card, you will observe that the nonworking day entries that you made have been updated. These entries now appear in red and the Nonworking field is selected.

Note: When setting up a new base calendar, you can select and copy lines from an existing calendar. You do this in the relevant Base Calendar Changes window.

How to: Customize a Calendar

The main task in customizing a base calendar for your company, or one of its business partners, is to enter any changes to working and nonworking day status. For example, while a base calendar would typically list all Saturdays as nonworking days, the customized calendar for a particular location may list all Saturdays during the months of November and December, and leading up to the holiday season, as working days. The following procedure uses the case of the location as an example. Note that at this point, you have already assigned a base calendar to the location.

To customize a calendar

  1. In the Search box, enter Locations, and then choose the related link.
  2. Open the location that you want to update. On the Warehouse FastTab, select the Customized Calendar field to open the Customized Calendar Entries window. Note that a calendar must be selected in the Base Calendar Code field.
    The Customized Calendar Entries window opens. At this point, the date entries are the same as those in the base calendar. The Nonworking field is selected for nonworking days.
  3. On the Actions tab, in the Functions group, choose Maintain Customized Calendar Changes. The Customized Calendar Changes window opens.
  4. Add lines for customized calendar entries. When you enter a line, the Nonworking field is selected. You can clear the check mark if you want to change the status to a working day.
  5. You can use the Recurring System field to set a particular date or day as a recurring nonworking day. You can select either the Annual Recurring or Weekly Recurring option. If you select Annual Recurring, you must also enter the relevant date in the Date field. If you select Weekly Recurring, you must also select the relevant day of the week in the Day field. If you leave the field empty, you must fill in the Date field. The Day field is filled in automatically. This could be useful if you want to mark an individual date as a nonworking or working day. Choose the OK button.
  6. On the Customized Calendar Entries window, you will observe that the date entries are updated with the changes that you made. Choose the Close button.
  7. On the Location card, you will observe that the Customized Calendar field contains the word Yes, indicating that a customized calendar has been set up.

Important: If you do not fill in the Location Code field on an order line, your company’s calendar is used. If you do not fill in the Shipping Agent Code field on the order line, your company’s calendar is used.

Note: If you make changes to a base calendar for which customized calendar changes exist, all existing customized calendars are updated automatically.
