How to set up quality control samples
Before performing a quality control sample from an open quality control activity, complete the required setup. The background process performs a negative adjustment in the item journal.
Quality control sample setup in Inventory Setup
On the Lots tab under Quality Control Samples, configure the following settings:
- Samples Enabled: defines whether you want to write off samples.
- Suppress Sample Warning: defines whether you want to create a warning when people do not write off a sample during testing.
- Default Sample Reason Code: the reason code used to write off samples.
- Sample Document No. Series: the document number shown in the item ledger entries. Using a specific document number lets you easily track how much inventory is written off by sampling.
Quality control sample setup in Source Code Setup
When initialising a new environment, this is done automatically. This setup is not mandatory but can be useful if you want to track quality control sample entries.
On the Inventory tab, a Quality Control Sample field is available to add a source code.
Quality control sample setup in Data Collection Lines
On the item card, go to Related, Item, Data Collection Lines. Set three fields:
- Sample Quantity: the sample quantity for the data collection line.
- Sample Unit of Measure: the sample unit of measure for the data collection line. Must be an item unit of measure.
- Combine Samples: decide per data collection line whether to combine all available data collection lines into one posting.

Quality control sample setup in Data Collection Template Lines
On the Data Collection page, go to Lines, Data Collection Lines. Set three fields:
- Sample Quantity: the sample quantity for the data collection line.
- Sample Unit of Measure: the sample unit of measure for the data collection line.*
- Combine Samples: decide per data collection line whether to combine all available data collection lines into one posting.
*Because you are working in a template, the item to which you will link the template is not yet known. The Sample Unit of Measure is validated when the template is linked to an item. If the specified unit of measure is available as an item unit of measure, it is shown. If it is not set as an item unit of measure, the Sample Unit of Measure field is empty and must be defined manually.
