Sales and marketing

Business Central considers projects "a special kind of sales order." Every control feature of the project can be maintained (Planning, WIP, Posting). Use sales invoices and credit memos to invoice the project as per the invoicing method.

On the Project card, first select a Sell-to Customer. By default, this is also the Bill-to Customer. On the Invoice and Shipping tab of the Project card, select one of the following options in Bill-to:

  • Default (Customer): same as the Sell-to Customer.
  • Another Customer: the tab expands with additional fields to select another customer from the customer list.
  • Custom Address: the tab expands with empty address fields to specify a custom address for the Sell-to Customer.

Project Control Suite further extends this functionality.

Project Sell-to and Bill-to customers

A project with status Open must have a Sell-to Customer as the principal customer for the project. On the Invoice & Shipping tab, the Bill-to Customer offers the following options:

  • Default (Customer): same as the Sell-to Customer on the General tab.
  • Another Customer: any customer selected from the customer list.
  • Custom Address: the account number of the Sell-to Customer with specific address fields unique to the project.

From Related > Sales & Marketing, open the Project Customers list to add additional customers for the project, enabling the following features.

Split billing

Initially, the Bill-to Customer shows 100% in the Charge % column. Adjust this percentage and specify a percentage for each customer, as long as the total adds up to 100%. These percentages are applied when project billable lines are created with the Initialize Fixed Price Billing action.

The Initialize Fixed Price Billing action splits the contract amount as per the invoicing schedule and splits each line per customer based on the percentage in the Project Customer list.

Notes

  • Split billing can only be used for the project Bill-to Customer when the invoicing method for the project is Fixed Price.
  • When Another Customer has been selected, the 100% indicator shows on the line of the Bill-to Customer.

Customer per project task

Business Central 24 offers new functionality for project tasks. These new functions are integrated in Project Control Suite (APM).

On the Project card, the Task Billing Method field lets you select between One Customer or Multiple Customers:

  • One Customer: the entire project is invoiced from the Project card. The main customer is the Sell-to Customer. On the Invoice and Shipping tab in the Bill-to field, select:
    • Default (Customer): Sell-to = Bill-to.
    • Another Customer: Sell-to ≠ Bill-to.
    • Custom Address: Sell-to = Bill-to with a project-specific address.
  • Multiple Customers: you can select a different customer on the Project Task card. The field is only available on the Project Task card when this option is selected.

On the General tab of the Project Task card, select a different Sell-to Customer for the project task. On the Invoice and Shipping tab of the Project Task card, the same Bill-to Customer options are available as on the Project card (see One Customer above).

On the same tab, the following Ship-to Address options are available:

  • Default (Sell-to Address)
  • Alternate Shipping Address: select from the sell-to customer's ship-to addresses.
  • Custom Address: sell-to customer with a project task-specific ship-to address.

The Posting tab shows the APM-specific fields for the invoicing methods. The billable lines for the project task are initialized from the project billable lines.

On the General tab of the Project Task card, the following APM fields have been added:

  • Next Task No.
  • Surcharge Model Code
  • Work Type Code

Use Show More to show additional APM fields:

  • Project Element No.
  • Project Activity No. (also shows Description 2)
  • Project Change Order No.
  • Planning Multiplier

The APM Planning tab shows the APM-specific planning and delivery fields. The Project Task card also shows the project planning lines for the project task. The sub-page is not editable and lists all planning lines for the project task. With the actions, you can open:

  • Project Task Budget Lines (only when the project task type is Posting).
  • Project Task Planning Lines (only when the project task type is Posting).
  • Project Task Billable Lines (only when the project task type is Posting or Milestone).
  • Project Task Posted Delivery.

In IEM, each project task can have its own Bill-to Customer with a separate invoicing method. Only customers from the Project Customer list can be selected. Billing per project task is customer-specific, so split billing is not available.

When a sales invoice is created from the project task billing lines, the Sell-to Customer is taken from the project header (the principal customer). The Bill-to Customer is taken from the project task.

Notes Business Central lists sales invoices per Sell-to Customer.

Ship-to addresses

In Business Central, ship-to addresses are always linked to the Sell-to Customer. AJM follows that data model. On the Invoice and Shipping tab, several Ship-to Address options are available:

  • Default: same address fields as the Sell-to Customer.
  • Alternate Ship-to Address: select an address from the sell-to customer's ship-to addresses, or use the Create Ship-to from Contact wizard to quickly add an address to the list.
  • Custom Address: enter a one-time custom address for the Sell-to Customer.

In IEM, deliveries from the project are made from the project task. Specify a Ship-to Address on the project task:

  1. The drill-down in the Ship-to Address field shows the ship-to addresses for the project's Sell-to Customer.

  2. With the New option, create a new ship-to address. This is added to the Sell-to Customer's ship-to address list.

  3. You can also use the Create Ship-to from Contact wizard to copy the address fields from the Contacts list to the customer's ship-to addresses.

    Notes A ship-to address created from the contacts list is marked as Created from Contact so temporary addresses can be easily found and removed when no longer required.

Project contacts

Shows a list of the contacts for the project. The principal contact is added in the project header as specified in the Sell-to Customer. From Related > Sales & Marketing, open the Contacts list to add additional contacts for the project.

The drill-down in the Contact No. field shows all contacts. Click the column labels to sort by Name, Type (Person, Company), or City. Use the Select from full list option to show a list where persons are grouped per company.
