Project costs and pricing

Project Control Suite uses the New Sales Pricing Experience in Business Central. This feature is automatically enabled with the Q2 2025 release. Until then, enable it manually from Feature Management:

Enable the New Sales Pricing Experience

  1. Choose the Lightbulb icon, enter Feature Management, and then choose the related link.
  2. In the list of features, locate: Feature Update: New sales pricing experience.
  3. In the Enabled for column, change None to All Users.
  4. On the wizard page, leave the Allow update defaults setting off. You can update this later on the price list.
  5. Confirm the data update prompts. Existing prices are converted to a first version of a default price list for each of the following documents:
    • Sales
    • Purchases
    • Project sales
    • Project purchases

Setting up the New Sales Pricing Experience

Notes Although the name of the feature suggests sales prices only, the same applies to purchase pricing, which in projects also translates to costs. Use the New Sales (and Purchasing) Pricing Experience when you want to deviate from the basic pricing set on the Item card and Resource card.

Control the setup for sales and purchase prices from Sales & Receivables Setup and Purchase & Payable Setup. On these pages, set the following:

  • Price Calculation Method: specifies the default price calculation method for sales or purchase transactions. The default is "Lowest Price." Additional options are only available when ISV extensions are installed.
  • Allow Editing Active Price: specifies whether an existing active sales or purchase price line can be modified or removed, or a new price line can be added to the active price list.
  • Default Price List Code: for projects, set the price list codes in Projects Setup:
    1. Default Sales Price List Code
    2. Default Purchase Price List Code
  • The number series for the project price list codes is set on the Numbering tab in Projects Setup: Price List Nos.

Price calculation methods

To view the list of installed and available price calculation methods, search for Price Calculation Method. By default, when no ISV solutions or extensions are installed, the list shows only the method Lowest Price, which comes with Business Central. For more information about this price calculation method, see Best Price Calculation. If you have installed an extension that adds pricing methods, select it in Price Calculation Method.

Set up prices for projects

To set up sales or purchase prices for projects, search for Sales Project Price List or Purchase Project Price List. In Applies-to Type and Applies-to No., choose what the price list applies to, for example, All Projects, Project, or Project Task. Use View Columns for to show or hide columns relevant for setting prices, discounts, or both.

Set up price list lines manually or use the Suggest Lines action to create new prices for selected items, item discount groups, resources, resource groups, and other product types. When you select Suggest Lines, the Price Lines - Create New page lets you set filters to select products for which you want to create new price list lines. You can also specify a minimum quantity, adjustment factor, and rounding method. The Copy Lines action copies existing price list lines between price lists.

By default, the status of new price lists is Draft. When you finish adding lines and want the price calculation engine to include the list, change the status to Active.

To review price lists and prices that apply to specific projects, on the Project page, choose Prices & Discounts from the Related menu:

  • Sales / Purchase Price List: shows the available sales or purchase project price lists.
  • Sales / Purchase Prices: shows sales or purchase price lines for the project.

Notes The Sales / Purchase Project Price List takes priority over the Sales / Purchase Price List. For example, when an item has a special price for a customer and is also priced in the Sales Project Price List, the price from the Sales Project Price List is selected, even when the special customer price is lower.
